Privacy and Cookie Policy

EducaSoft attaches great importance to protecting your privacy and aims to collect as little personal data as possible when providing educasoft.be.

Last updated: 23 August 2026

In this Privacy and Cookie Policy, we explain what data may be processed when you visit or use our website, why this happens, how long data is retained, with whom data may be shared and what rights you have in relation to this.

This policy applies to the website educasoft.be and the sections, applications and educational activities offered through this website.

1. Who is responsible for the processing?

The data controller for personal data processed directly by EducaSoft is:

Bart Libert
Emiel Gellyncklaan 8
8940 Wervik
Belgium

Email: educasoft@gmail.com

If you have any questions about privacy, personal data or this Privacy Policy, you can contact us at any time using the email address above.

2. Our principle: as little personal data as possible

EducaSoft is built according to the principle of data minimisation.

For normal use of our educational applications, you do not need to create an account and, in principle, you do not need to provide EducaSoft with your name, address, telephone number or other personal information.

Personal data may mainly be processed in the following situations:

  • when you voluntarily subscribe to our mailing list;
  • when you visit our website, as a result of which technical server data such as an IP address may temporarily be recorded in server log files;
  • when you give consent for services such as Google Analytics and/or Google AdSense;
  • when you contact us yourself, for example by email.

The educational applications may also store data locally, such as a username, activity result or log information. This data is stored exclusively on the device being used and is not sent to our servers.

3. The local user log

EducaSoft educational applications include a log function.

The log may, for example, contain the following information:

  • a selected username;
  • a selected user icon or emoji;
  • which activity was completed;
  • the date and time;
  • the duration of the activity;
  • a result or status;
  • information about how the user experienced the activity.

This data never leaves your device

The log is stored using the web browser's localStorage.

This means that the data is stored locally on your own computer, tablet or other device.

The contents of this log are not sent to EducaSoft's servers and are not visible to EducaSoft.

As a result, EducaSoft does not have access to this data and cannot view, modify or delete it.

Users can delete the data using the functions provided on the website or by clearing the browser's local website data.

Using real names is not required

It is not necessary to use a real name in the log.

Particularly when children use the website, we recommend using, for example, a first name, pseudonym or another recognisable identifier instead of a full name.

Because this information is stored exclusively locally, EducaSoft does not receive these names or log data.

4. Mailing list

You can voluntarily subscribe to the EducaSoft mailing list.

For this purpose, we process your: email address.

Your email address is used exclusively to send you messages about, for example, new educational applications, important updates or other relevant information about EducaSoft.

Legal basis

The processing is based on your consent.

You are not required to subscribe and you can withdraw your consent at any time.

Unsubscribing

You can unsubscribe at any time using the unsubscribe option in an email, where available, or by sending an email to:

educasoft@gmail.com

Please state the email address that you would like to have removed from the mailing list.

After unsubscribing, the email address will be removed from the active mailing list as soon as possible, unless limited further retention is necessary, for example to demonstrate that an unsubscribe request was respected or to comply with a legal obligation.

We never sell addresses from our mailing list to third parties.

5. Contact by email

When you contact EducaSoft by email, we will of course receive your email address and any information you include in your message.

This data is used exclusively to answer your question and, if necessary, to allow further communication about your enquiry.

We ask you not to send sensitive or unnecessary personal data by email.

Email correspondence is not retained for longer than reasonably necessary to handle the communication or to comply with any legal or administrative obligations.

6. Server log files

Like virtually every website, educasoft.be is provided through a web server.

The web server and/or hosting infrastructure may automatically record technical data when a page or file is requested.

This may include, among other things, the following data:

  • IP address;
  • date and time of the request;
  • requested page or file;
  • HTTP status code;
  • browser type and user agent;
  • referring page or website, if provided;
  • technical data required to investigate errors, misuse or security issues.

Under the GDPR, an IP address may constitute personal data.

EducaSoft does not use these server log files to profile individual visitors or personally track their browsing behaviour.

Purpose of this processing

  • the technical operation of the website;
  • security;
  • detecting misuse or attacks;
  • troubleshooting;
  • investigating technical problems;
  • protecting the website and server infrastructure.

Legal basis

Insofar as personal data is processed in these logs, this is based on our legitimate interest in providing our website in a secure, stable and technically reliable manner.

Retention period

Server log files are not retained for longer than necessary for security, troubleshooting and technical management.

The specific technical retention period may also be determined by the configuration and policies of our hosting provider.

7. Google Analytics

EducaSoft may use Google Analytics 4 to obtain general statistical information about the use of the website.

Google Analytics is used, for example, to better understand:

  • how many visitors the website receives;
  • which pages are visited;
  • how visitors generally navigate through the website;
  • what type of device or browser is used to access the website;
  • which country or general region visitors come from;
  • how the website performs technically.

This data helps us improve educasoft.be and our educational applications.

Google Analytics is only used after consent

For visitors for whom consent is required under applicable law, we use Google Analytics for analytical purposes only when consent has been given through our Consent Management Platform.

You can refuse this consent without losing access to EducaSoft's regular content and educational applications.

You can change your choice again later through the website's cookie or privacy settings.

IP addresses

When communicating with Google, an IP address is technically used to establish the connection.

Google states that, for Google Analytics, IP addresses of users from the European Economic Area, the United Kingdom and Switzerland are not logged or stored by Analytics. The IP address may briefly be used to derive a general geographical location and is then deleted before Analytics stores the data.

Analytics cookies

Where consent has been given, Google Analytics may use cookies including:

Cookie Purpose
_ga Used to distinguish visitors from one another.
_ga_XXXXXXXXXX Used to store information about a session. The exact name depends on the Analytics configuration.

Google specifies a default maximum expiry period of approximately two years for these cookies. Browser restrictions, EducaSoft settings, deletion by the user or changes made by Google may cause them to disappear earlier.

Data retention within Google Analytics is configured to be as limited as possible. For standard accounts, Google Analytics 4 provides retention periods of, among others, 2 or 14 months for certain user and event data.

Aggregated statistical reports may remain available for longer when they no longer contain directly identifiable individual data.

8. Google AdSense and advertising

EducaSoft uses Google AdSense to display advertisements on the website.

Advertising enables us to offer our educational applications free of charge.

Google and any other advertising partners enabled through Google AdSense may process data for displaying, securing, measuring or personalising advertisements.

Depending on your settings and consent, this may include technical data such as:

  • IP address or general location derived from it;
  • browser type;
  • device data;
  • page visited;
  • date and time;
  • advertising interactions;
  • cookie or browser identifiers.

Google may use cookies or similar technologies to, for example, display advertisements, limit advertising frequency, combat fraud, measure advertising performance and, where legally valid consent has been given, personalise advertisements.

Personalised advertising

Personalised advertisements may take into account previous website or app use, interests or other information available to Google in accordance with its own policies and the user's choices.

Where consent is required, this only takes place if the user gives consent through the Consent Management Platform.

Non-personalised and limited advertising

When consent for personalised advertising is not given, Google may, depending on the region, technical configuration and applicable regulations, display non-personalised or limited advertisements.

Non-personalised advertisements may, for example, be based on the content of the current page and a very general location.

Even for non-personalised advertising, certain technical data may be necessary for security, fraud prevention, frequency capping or aggregated advertising measurement.

Google determines within its own systems how these processing activities are technically carried out.

9. Google Consent Management Platform

To manage consent for Google Analytics, Google AdSense and other non-essential technologies, EducaSoft uses the Google Consent Management Platform (Google CMP).

This system displays a privacy and consent window to visitors which, depending on their region, allows them to:

  • give consent;
  • refuse consent;
  • manage individual purposes;
  • view information about the advertising partners involved;
  • change their choices again later.

For European users, the Google CMP uses the IAB Europe Transparency & Consent Framework where applicable.

Your consent choice is stored technically so that the website does not have to ask you the same question again on every page.

For this purpose, the CMP may use strictly necessary cookies or local storage.

This storage is necessary to remember your privacy choice and is not used to track you for advertising purposes.

The exact cookies, partners, purposes and retention periods may be changed by Google or by the framework being used. Current information is displayed in the privacy and settings window of the Google CMP.

10. Cookies and similar technologies

A cookie is a small data file that can be stored on your device through a website.

In addition to regular cookies, similar technologies include:

  • localStorage;
  • sessionStorage;
  • pixels;
  • browser identifiers;
  • other technologies through which information is stored on or read from a device.

For the purposes of cookie rules, such technologies may be treated in a similar manner.

10.1 Strictly necessary and functional storage

These technologies are necessary to perform a function explicitly requested by the user or to enable a technical function of the website.

Examples include:

  • remembering cookie and privacy preferences;
  • storing the user log locally;
  • storing certain settings of educational applications locally;
  • security or session data where technically necessary.

Prior consent is not required for strictly necessary technologies.

10.2 Analytics cookies

Analytics cookies are used to collect statistics about the use of EducaSoft.

We use Google Analytics for this purpose.

Where legally required, these cookies are only placed or read after you have given your consent.

10.3 Advertising and marketing cookies

Google AdSense and its advertising partners may use cookies or similar technologies for displaying advertisements, measurement, security and, where permitted, advertising personalisation.

Where required, we ask for your prior consent for non-essential advertising and marketing technologies.

11. Changing your cookie preferences

You can change your privacy and cookie preferences at any time through the privacy or cookie settings made available on the website by the Google CMP.

Withdrawing consent does not affect the lawfulness of processing that took place before consent was withdrawn.

You can also view, block or delete cookies and local website data through your web browser.

If you delete EducaSoft's local storage, information stored exclusively on your own device may also be deleted, such as the local user log or certain preferences.

Blocking strictly necessary storage may prevent certain functions from working correctly.

12. Social media and sharing buttons

EducaSoft may provide buttons or links that allow a page to be shared through, for example, social media, messaging apps or email.

When you use such a function, you may be redirected to an external service.

From that moment, the external provider may process data in accordance with its own privacy terms.

EducaSoft does not determine how social networks or other external services process personal data once you open or use their service.

We therefore recommend that you also consult the privacy policy of the relevant external service.

13. External websites

educasoft.be may contain links to other websites.

This Privacy Policy applies exclusively to EducaSoft.

When you visit an external website, that website's privacy policy, cookie policy and terms and conditions apply.

EducaSoft is not responsible for the way external websites process personal data.

14. With whom may personal data be shared?

EducaSoft does not sell personal data.

Personal data may only be processed by or accessible to parties that are technically necessary for providing our services or that you activate yourself.

Hosting and infrastructure provider

Our hosting provider provides the web server and technical infrastructure and may therefore technically have access to, for example, server log files.

Google

We use Google services for Google Analytics, Google AdSense and the Consent Management Platform.

Depending on the specific service and processing activity, Google may act as a data processor and/or as an independent data controller.

Advertising partners may also be involved in advertising services.

The current list of relevant advertising partners, purposes and legal bases can be consulted through the Google Consent Management Platform.

Email and hosting infrastructure

When email is sent or received, the email and hosting providers involved may technically process personal data in order to deliver messages.

Personal data may also be disclosed where we are legally required to do so, for example pursuant to a valid order from a competent authority or court.

15. Processing outside the European Economic Area

For certain external services, particularly Google services, personal data may be processed outside Belgium or outside the European Economic Area.

Google has infrastructure in various countries and states that, where required, it uses recognised transfer mechanisms such as:

  • adequacy decisions of the European Commission;
  • the EU-US Data Privacy Framework where applicable;
  • standard contractual clauses approved by the European Commission.

We aim to use only services that provide appropriate safeguards for the protection of personal data.

16. Legal bases for processing

Depending on the situation, we base the processing of personal data on one of the legal bases permitted by the GDPR.

Consent
For example, for subscribing to the mailing list and for non-essential analytics or advertising technologies.
Legitimate interest
For example, for necessary server logging, security, troubleshooting and protection against misuse.
Legal obligation
Where we are required to retain or provide certain information because the law requires us to do so.

Where processing is based on consent, you can withdraw that consent at any time.

17. Retention periods

We do not retain personal data for longer than necessary for the purpose for which it was collected.

Data / processing Retention period
Mailing list Until you unsubscribe or until the mailing list is discontinued, subject to limited further retention where this is necessary for evidence or legal obligations.
Email correspondence For as long as reasonably necessary to handle the communication and any administrative or legal obligations.
Server log files For as long as necessary for security, technical management and troubleshooting, also depending on the configuration of our hosting provider.
Google Analytics In accordance with the Analytics settings selected by EducaSoft and Google's applicable retention periods.
Google AdSense In accordance with the retention periods used by Google and the advertising partners involved.
Local user log EducaSoft does not determine a retention period for this data because it is stored exclusively on the user's device. It remains there until it is deleted by the user, browser or device.

18. Security

We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss, alteration, destruction or misuse.

Among other things, we aim to provide:

  • secure connections via HTTPS;
  • restricted access to systems;
  • security of hosting and server infrastructure;
  • regular software and security updates;
  • secure authentication;
  • backups where technically necessary;
  • limitation of the amount of personal data we collect;
  • processing data locally as much as possible where server storage is not necessary.

However, no digital system can guarantee absolute security.

19. Data breaches

Despite the security measures taken, the possibility of a security incident can never be completely excluded.

If a personal data breach occurs, we assess the risk to the individuals concerned.

Where required by the GDPR, we report such a breach without undue delay and, where applicable, within 72 hours of becoming aware of it to the competent Data Protection Authority.

Where a data breach is likely to result in a high risk to the rights and freedoms of the individuals concerned, those individuals will also be informed where required by law.

20. Your rights under the GDPR

Where EducaSoft processes personal data about you, you have various rights depending on the processing activity and the applicable legal basis.

You may, among other things, request:

  • confirmation as to whether we process personal data about you;
  • access to your personal data;
  • a copy of your personal data;
  • correction of inaccurate data;
  • completion of incomplete data;
  • deletion of personal data where the legal requirements are met;
  • temporary restriction of processing;
  • to object to certain processing activities;
  • to withdraw your consent;
  • in certain cases, to receive your data in a portable format;
  • not to be subject solely to certain automated individual decision-making.

EducaSoft does not use personal data provided directly to us for automated individual decision-making that produces legal or similarly significant effects for you.

21. How can you exercise your rights?

You can send a request to:

educasoft@gmail.com

Please describe as clearly as possible the request you wish to make.

If your request relates to the mailing list, please specify the email address concerned.

We may request additional information where this is reasonably necessary to verify that the request comes from the correct person.

In principle, we respond to valid requests within one month, as provided for by the GDPR.

Where a request is exceptionally complex or several requests are submitted at the same time, this period may be extended in accordance with the GDPR. In that case, you will be informed within the original one-month period.

22. Data stored exclusively on your device

For data stored exclusively through localStorage on your own device, such as the EducaSoft log, we cannot remotely provide access, correction or deletion.

This is because EducaSoft does not receive this data.

You control this information yourself through the log functions and your browser settings.

23. Children and privacy

A significant part of EducaSoft's educational content is intended for use by children, teachers and parents.

This is precisely why we aim to keep the amount of personal data required to use our activities to an absolute minimum.

To use the regular educational applications:

  • no personal account is required;
  • no email address is required;
  • no full name needs to be provided;
  • log data is stored exclusively locally on the device being used.

We recommend that parents, supervisors and schools do not allow children to enter unnecessary personal data.

The mailing list is primarily intended for adults, such as parents, teachers and other interested persons, and is not intended to collect email addresses directly from young children.

If we discover that a child's personal data has been stored directly by us in error, it can be deleted upon request.

24. Complaints

If you have questions or complaints about the way EducaSoft processes personal data, we recommend that you first contact us:

educasoft@gmail.com

We will try to find a solution together with you.

You also have the right to lodge a complaint with the competent supervisory authority.

Data Protection Authority (DPA)
Drukpersstraat 35
1000 Brussels
Belgium

You also retain all other rights and remedies granted to you under applicable privacy legislation.

25. Changes to this Privacy and Cookie Policy

EducaSoft may amend this Privacy and Cookie Policy when:

  • the website or services change;
  • new technologies are used;
  • external service providers change;
  • legislation or guidelines change;
  • additional clarification becomes necessary.

The most recent version will always be published on educasoft.be.

The date of the most recent update is stated at the top of this policy.
